I just started to review a document created by our tech writer, and I'm getting error messages.
1) ArialMT Font not available
2) a whole bunch of print color XXX inconsistent.
The tech writer says that no fonts were added and can't explain why all the color inconsistencies exist.
Can anyone shed some light on this?

A single file or a book?
I'll assume a single file.
If you save it as a MIF, you can search for the named problems.

Search this forum for "missing font" for the full pantheon of possibilities. The usual suspects are imported objects that can encode font declarations, such as Text Insets, DWG, DXF, EPS, PDF and possibly SVG.

A sample name of "XXX" might have been helpful, like "AutoCAD Color 1".

It is a book containing 14 FM documents. Upon setting up the Table of Contents, a log file is generated with every path/file in the book as a blue colored link, and under each link:
Print setting for color Dark Grey is inconsistent
Print setting for color Pale Green is inconsistent
Print setting for color Forest Green is inconsistent
Print setting for color Royal Blue is inconsistent
Print setting for color Mauve is inconsistent
Print setting for color Olive is inconsistent
Print setting for color Salmon is inconsistent
I need to figure out how to eliminate these messages in order to get it to print properly no matter which workstation checks it out of Document Control.

Find one component file in the book that has the color settings you want
the book to use --- your source/template/master file.
Select the target files in the book, and do a File > Import Formats,
specifying only the color properties from the source file.
Save all after the import and you should be in good shape.

1) I don't see how to determine which component file has the color settings I want. All 14 files are listed.
2) The unavailable font is confusing. Upon opening the problematic file, FM issues a dialog "Document <name> uses unavailable fonts. To reformat the document using available fonts, click OK". I click okay and save the document. Upon opening the document again, the exact same dialog reappears.

1. Unless you know one file is "right" and the others aren't, it doesn't
matter.. make a backup copy and go on. You want consistency and this is how
you get it.
2. That's right. The software is protecting the original files from format
modification by you because your system doesn't have the correct fonts.

Your reply does not make sense to me. The dialog says "to reformat the document using available fonts, click OK." I click OK and then save the document as a different file name. I then open the new file name and the document has NOT been reformated using available fonts!

You need to check your FM Preferences. In order to make the font changes permanent, the "Remember missing font names" option needs to be temporarily turned off. The font substitutions listed in the console window will then be permanent when you save the document.
Regarding the colour inconsistency, FM uses the first file in a book as the metric to check against the other files. Import the colours from that file into the rest of the files of the book to get rid of the inconsistency messages.

Most likely the creator of the doc has the font on his/her system, but you
don't -- so it's flagged as missing on your system. Quickest fix is to
install it, but if you're only reviewing it, the missing font will be
substituted on your system with a look-alike -- no actual content changes.
Safe to ignore.
The color messages are the same -- safe to ignore unless you are doing
production printing. What it means is that the default FM color definitions
have changed / been modified. Could be something as simple as a .PNG
graphic importing new mixes of RGB.
