I have no idea whether this is SharePoint or RoboHelp. I've tried a project on SP2010 myself and it works without problem for files of over 100 KB.

Could there be a setting in the SharePoint server blocking API uploads of over 100 KB for other applications?

We use the "Open project from version control" option and then have to navigate through the folder structure in TFS.

I suspect that we'd have to find a way to create a 'shortcut' in TFS/Source Control, not in RoboHelp.

If you look closely at the image of the open project dialog, you will notice an option 'Open project from version control' right in Rick's image. That may be what you're looking for.

Certain files cannot be checked into SharePoint 2010 for version control due to file size being approximately > 100KB but same files can be uploaded via the SharePoint GUI (i.e. not within RH) and smaller files upload successfully.

Steps:

Configure according to http://help.adobe.com/en_US/robohelp/robohtml/WS1b49059a33f77726-5aab66613798e5ec9b-8000.h tml
Create new simple project and add to version control using SharePoint Connector; project is added to version control
Files that are not uploaded are *.fla files approx > 100KB. Error message: 'The underlying Connection was Closed, an unexpected error occurred on Send'

Workaround attempted:

Open Explorer View in SharePoint 2010
Cut and paste RH project to Shared Library/Folder
Open project in RH (File > Open Project From Version Control)
Make changes to topic (add body text) to increase size > 100KB
Check in topic fails, same error message displayed

Environment: Windows 7, RH 11 (trial version), SharePoint 2010 (with Site Owner permission), VPN Connection, Windows Authentication to Source Control, WinMerge (latest version)

All files are available on the repository. All files were retrieve from the repository. We started with a fresh download from the repository twice before requesting community assistance.

I think that your method works only if you open the project from a local folder, not for opening the project from Version Control.

The project is stored on a Team Foundation Server and is mapped to a local workspace. If we open the project locally, we are then not working from Version Control.

Are all the files available on the server? You may want to backup the local project, remove the entire thing and do a get from the repository.

Adobe - you need to include this in your documentation - this is a vital feature for people using the ShrePoint connector. I should't have to take two hours of my time to find a random post about this to resolve my problem.

"Add a project to a SharePoint document library" is nicely documented in the RoboHelp reference guide. However there is no information on adding another user to that library, i.e. how do you synchronize that user with the library on SharePoint? Do they open a new project and restore the files...? I have no idea how to do this - spent the last 2 hours trying to figure this out as there in no information on this - not even on Google searches. It's really a shame that a powerful help authoring tool is lacking help itself. I'm a fan of robohelp, however when you face roadblocks like this - it's very frustrating. This should be something simple to do and it should be clearly documented. Can someone please help.

We thought we had removed the CPD file from source control last Friday when we were removing the files noted in your snippet. We don't know what happened to the Delete status on the file, but are very happy to have found it and deleted it.

The odd thing is that we had all set RoboHelp to delete the file automatically.

Update

Here's how we resolved the problem:

Closed RoboHelp 11.
Found an old CPD file in Visual Studio Source Control that we thought had been deleted last Friday October 10.
Deleted the old CPD file from Source Control.
Deleted/renamed the CPD file in each of our local workspaces.
Opened RoboHelp 11. Everything works correctly. No Win32 exceptions.

Thanks, everyone, for all your suggestions, and for many of your old posts that helped me to see that the CPD was probably a big part of the problem.

Along the way we also learned about the patches -- thanks, Willem and Peter -- and installed the latest patch. The files installed with our RoboHelp 11 are more up-to-date than the files in the other patches.

Hi,

Installing the patches is always a good idea. I'd normally advise to first install 11.0.1, then 11.0.2 and then 11.0.3.

When you say your colleague can't do anything in RoboHelp, does that mean for this particular project? Or do other RoboHelp project still work? Try the example projects or create a new project. Do you experience the same issue?

In TFS, which files were changed right before you started experiencing problems? Perhaps one of the FPJ or APJ files became corrupted.

Hi there

You might try adding the folder to the "My Places".

In RoboHelp, click File > Open and browse to the folder. Then from the RoboHelp dialog, click the Tools drop-down as shown below and choose "Add to My Places"..

Once you have added it, you then should see an icon in that left panel you may click to just "go there".

When we open a project from Version Control (in Team Foundation Server), we perform the following steps:

Navigate to the Team Foundation Server MSSCCI Provider
Connect to a TFS Server
Choose the folder in TFS, which requires 6-7 clicks through the folder tree.

Is there a way in RoboHelp to 'remember' the location of the XPJ in Source Control so that we don't have to repeat the eight clicks each time?

We have contacted Adobe for assistance, but I also wanted to post this question in case someone has experienced this and can quickly provide a solution.

Problem

I'm the original author of the Touchstone Help system. Last week we started getting two colleagues on board to work with me. On their systems, we configured RoboHelp to work with TFS in Visual Studio using MSSCI Provider 2010.

The original project had lots of conditional build tags. I removed them all and the expressions and checked everything into Source Control. When my colleagues got the latest files from Source Control and opened the project from Version Control, we noticed that their projects still had the conditional build tags along with other items that had long ago been deleted. After some research, we deleted the CPD and PSS files from Source Control and let RoboHelp create them when we opened the project. That solved those problems -- no more conditional build tags in the project.

Last Friday colleague A began experiencing significant problems. When she right-clicked a topic to view properties, RoboHelp stopped working. She has not been able to do anything in RoboHelp since.

That same day I attempted to look at the Version Control settings (which I'd had no problem accessing all week). RoboHelp crashed as soon as I clicked Tools > Options. Colleague B experienced the same problem today.

This morning I experienced colleague A's problem.

Bottom line: we are suddenly not able to run RoboHelp 11.

Our in-house Help desk person tried running the Visual Studio debugger. We get "An unhandled win32 exception in RoboHtml.exe [5404]". We also unhandled exceptions at various address with an Access violation reading location hex address.

After looking at Willem's site that lists the RoboHelp updates, we thought about installing them, but we were not sure whether to install ALL the patches or only Patch 11.0.3. If all the patches, we were not sure whether to install them in a particular sequence.

My colleague and I have followed the steps in the Integrating RoboHelp projects with Subversion article to set up version control using Subversion with the PuskOK plugin.

We are not getting the results expected as far as collaboration. When I open RoboHelp, I am able to check out files, and I see that the status updates to “Checked Out” in the File Status Pod accordingly. I am able to check files in as well.

However, when my colleague opens the same project from version control, in her File Status pod, most of the files show “not controlled.” She cannot see that I have checked out a file either.

In my File Status Pod I see a few project files ( a few .fpj files, for example) that show up as “not controlled.” Those are the only files that seem to be under version control in my colleague’s project.

I have read the recent posts related to this issue, but I have not found any that resulted in a satisfactory outcome for using RH with the Subversion, PughOK plugin set up. If there’s any one who currently uses the RH, Subversion, PushOK set up successfully, we would greatly appreciate some advice on how you got up and running.

Can multiple authors check out XPJ?

Three of us are starting to work on a Help project together. We are working from Version Control.

We will be setting up collaboration guidelines, such as, 'don't work on the same topic at the same time'.

However, when we open our projects, RoboHelp prompts us to check out the XPJ file and we are not sure what the effect is in a collaborative environment running in Source Control. Will we run into version conflicts?

The RoboHelp Help says that we don't have to check out the XPJ file when editing, only when editing project settings. However, RoboHelp won't let us click No in response to the prompt.

Good afternoon.

Running RoboHelp 11, integrated with Team Foundation Server and Visual Studio 2010.

When my two colleagues recently "got" the latest project files from Source Control, they also got items that had been removed or deleted. For example, I had removed all conditional build tags from my project, but their version still included the build tags. Eventually, thanks in part to an old post from Peter Grainge, we realized that the PSS in Source Control contained a lot of that old information. We deleted the PSS and stopped checking it into Source Control. Problem solved. No more conditional build tags or unwanted Single Source Layouts, etc. (I think the PSS got checked in by our Release Engineer when he was trying to solve some other problem. Two years ago it was not being checked in.)

I vaguely remember reading something somewhere once upon a time about not checking certain RoboHelp project management files into Source Control. So far I've not found any such information in the RoboHelp Help or online.

Does anyone know where I can find a list of RoboHelp HTML project management files, such as the PSS file, that should never be checked into Source Control?

Do other applications work fine with the source control repository? The reason I'm asking is because you must first rule out that there are external factors causing this behaviour. It seems that your it guys have already looked at it, but it's better to be safe than sorry.

I have used both VSS and TFS and I haven't encountered such a performance issue. I would suggest filing it as a bug if you rule out that the problem is not related to external influences: https://www.adobe.com/cfusion/mmform/index.cfm?name=wishform&loc=en

Need Help! Cannot get SourceControl3.1 to work correctly.

We are using RH8. We have a project that needs updating to be current with newest software release. There is a project manager in the home office and a technical writer working remotely in another state. Our IT staff followed all the steps listed on setting up the SourceControl and this is what is occurring:

I've tried it both as file system and as full embedded database solution. For files based solution I did create a history path. This is what I was working on Friday. I had to set up another test machine here with RoboHelp in order to test it. Same problem. I can check out from either machine and checkin in. However the changes never get propagated to the other instance, even if you do a Get All.

Not sure if this is related, but the open project from Source Control does not work from within Robo Help 8 either. When I try to open a project that way, it just sits there on the open file dialog box. From what the tutorial showed, it should start downloading the files and then you select the project file to open.

Here's a sample screen shot.

I setup a brand new test database and project

We are also experiencing extremely slow performance for RoboHelp projects under version control. We are using RoboHelp 11, PushOk and a Tortoise SVN repository on a Linux server. We are using a Linux server on our IT guys advice because we found SVN version control under Windows was unstable.

When placing a Robohelp project under version control, and yes the project is on my local machine, it can take up to two hours to complete. We are using the RoboHelp sample projects to test.

We have tried to put the project under version control from Robohelp, and also tried first putting the project under version control from Tortoise SVN, and then trying to open the project from version control in Robohelp. In both cases, the project takes a ridiculous amount of time to open. The Robohelp status bar displays Querying Version Control Status for about an hour before it starts to download from the repository, which then takes more than an hour to complete. In many cases Robohelp becomes unresponsive and we have to start the whole process again.

If adding the project to source control completes successfully, and the the project is opened from version control, performing any function also takes a very long time, such as creating a topic. When I generated a printed documentation layout it took an astonishing 218 minutes and 17 seconds to complete. Interestingly, when I generated the printed documentation layout again, it took 1 min and 34 seconds. However when I closed the project, opened from version control, and tried to generate a printed documentation layout, it again took several hours to complete. The IT guys are at a loss, and say it is not a network issue and I am starting to agree that this is a RoboHelp issue.

I see there are a few other discussions here related to this kind of poor performance, none of which seem to been answered satisfactorily. For example:

Does anybody have any ideas on what we can do or what we can investigate? I know that there are options for version control, but am reluctant to pursue them until I am satisfied that our current issues cannot be resolved.

In RoboHelp: Tools > Options > Version Control. Enable the option 'Get the latest version of all project files when opening a project'.

Also, in Tools > Options > General, enable the option 'Clear project cache (.cpd file) before opening any project. This will help if RH gets confused when new files are added by other users.

Alternatively, you can do a get in TFS before opening an RoboHelp project.

I have RH10 connecting to Team Foundation Server for source control. Unless I'm mistaken, I'm beginning to see and regret that the Get Latest Version dialogue in RH only applies to files that were in the project when first loaded to my PC. If the owner of a project adds files and saves them to TFS, how do I then get those files added to my local copy when I open the project myself? I don't even see a manual way to do this in RH, but ideally I want an automatic solution.

So how do I:

Set up TFS/RoboHelp to get all new files whenever a project is opened?
Manually grab all new files within RH if that fails?

The point is, I understand I can do this in Source Control Explorer but does RH have an equivalent?

You will get the new option when you have installed the MSSCCI provider AND the source control client. If you have installed everything, the new option will automagically pop up.

I do have another question for you about source control.

For my current projects, and even when I create a new one, the Select Version Control Provider option defaults to SharePoint (I am using RH10).

How do I change this to the source control I want to use, for example, Perforce SCM? There is no Add or Create button on the Select Version Control Provider dialog box.

Hi,

Adding RoboHelp to source control requires a little more work, since you need to install the correct components to make everything work together. What you need to do depends on the source control system you want to use. You can find instructions for several source control systems on: http://www.adobe.com/devnet/robohelp.html

On which system to choose, I recently answered a similar question. I can't find the post anymore, but here was my answer. I hope this gets you started. Please post back if you have any further questions.

With source control, the easiest option is usually the best. Here are the three global options:

Use SharePoint for version control: This is very easy to set up and if you are a SharePoint administrator you don't need any IT guys helping out. This is by far the simplest way to go.
- You will need SharePoint 2010 or 2013. SharePoint 365 doesn't work.
- If you have SharePoint there is no additional cost involved.
Use RoboSourceControl: This is the source control system included in RoboHelp itself.
- It works rather well, but it is a pain to set up. You need a database (and a server to host that) and connect every team member to the source control system.
- You will require the support of an IT guy. I normally advise against this system because it is so problematic to set up.
- There is no additional cost for this option.
Use the source control system your developers use. If your developers use a source control system that support the Microsoft SCC API, you can use that source control system.
- The advantage of these systems is that they are generally more rubust than SharePoint, they are optimized for speed and they offer many advanced features that SharePoint lacks such as check in policies, integration with issue trackers, reports, etc.
- The knowlegde of this system is already in house so no consulting will be required for this side.
- You will need the support of the manager of the source control system and most likely also the support of an IT guy.
- You will be able to get a complete version of a project from a specific label/date/etc at once. With SharePoint you can only get older versions of individual files.
- Depending on your licensing structure, this option may require more additional licenses.

My advise is to choose for either SharePoint or the source control your developers use. Your management might prefer to have all content in a single repository and so choose the third option. In any way, backups will be made centrally and you will have the capability of comparing files between different versions.

If you want to quickly get older versions and have advanced reports on check in history, number of changes, etc. Than the third option is the way to go. If you only need older versions of single files and you want to get it done tomorrow, go for SharePoint.

You can always later change the source control system you use. But you will lose all history if you do this.

Please note that comparing files may require an additional free tool such as WinMerge (http://winmerge.org/)

RoboSource Control or similar

Hello.

I am using RH10 and need to set up Source Control - it doesn't have to be RoboSource Control but the company I contract for is moving away from SharePoint so I can't use that. Any advice on this area will be gratefully received.

I think I understand correctly that I need to ask a DB or Technical Support expert to set up an SQL database for me. That should hopefully prove to be straightforward.

However, when I currently open the Connection List in RH10 (File > Version Control > Add To Version Control), I can only see a connection to SharePoint. There is no Create button to enable me to add a new link for when the new database is set up for me.

Can anyone advise what I need to do to get this working as described in the RH10 Online Help?

I did originally check in the !SSL! folder when I added the original project to source control. TFS 2010 typically doesn't check files out on its own like that though. If I open a file in notepad and then save it TFS doesn't know about it. This behavior is different in later versions.

As I said, cloaking this folder solved my original issue for me. I don't need the generated outputs to be in source because I have TFS building it on demand.

Alternatively, you can generate to a different folder than the !SSL! folder. If you, for example, select C:\Help-output, you won't run into this issue either.

Though it's strange that you even have this issue. Did you check in the !SSL! folder in source control at some point?

I solved this issue by cloaking the !SSL! folder. I do not have a solution for the multi-checkout issue however although the cloaking mitigates the huge number of message boxes when generating.

I have a RoboHelp 10 project configured to use Team Foundation Server. When my user generates output (e.g. by previewing or 'Generate...') RoboHelp automatically tries to checkout the generated files (add or edit operations). I only want the source files to be added or checked out automatically, not the generated output. It is tying up Team Explorer on the user's computer each time this happens as hundreds of files are reconciled with TFS.

How can I resolve my problem?

BONUS problem I need solving:

So the user has these files checked out because RoboHelp demands it (until my original question is solved). If another user tries to build the same files (like I just did) on another machine, RoboHelp complains that the file is already checked out (regardless if multiple checkout policy is enabled). Then I have to click OK on each file. How to stop this as well and allow multiple users to work on the same project?

As far as I know, the resource manager does not support version control. If you map the version control folder to a local folder, you can use that in RoboHelp. But I'm afraid that any changes in the resource manager files will require you to manually check them out first. This is how I'm doing it anyway.

Are you documenting a program/product or just using RH to do online documentation?

If it is a program/product maybe you can use the Source Control they are using.

If it is online documentation, does your company use SharePoint? That is an option for source control and multi-author editing that is an end-to-end workflow solution.

I had a choice between TFS and SharePoint. We have decided to publish to a web server for the output and Link the Help Button in our application to the site page to open Help. We are using SharePoint for Source Control (yes, easy but I also don't have anything to compare it to and didn't try to set things up in TFS). From here, I have to determine how contextual search will be built using the website versus having the help loaded into the application.

Using Source Control and Resource Manager at the same time

I have several RoboHelp projects under SVN Subversion Source Control. I would also like to share common topics across these RoboHelp projects using the Resource Manager using a shared folder location.

I would like to put these shared topics under version control as well. However, I assume that Source Control and Resource Manager work independently and that when we check in or check out a project under Source Control, the shared topics are not checked into Source Control.

In order to have the shared topics under Source Control, I want to put the shared topics in a folder that is part of of RoboHelp project, sort of a master RoboHelp project, and put that project under Source Control, as per the following diagram:

Just wondering if anyone has a better solution than this, or can see any issues with doing it this way?

What do you mean with 'publish'? As far as I know, you can't use the publish option in RoboHelp to put your output in TFS. You can generate your output to a specific directory and your developers can pick up your output and put it in TFS. There is nothing special to be aware of. Just make sure that the developers pick up all the files (including subfolders) and put that into source control.

With source control, the easiest option is usually the best. Here are the three global options:

Use SharePoint for version control: This is very easy to set up and if you are a SharePoint administrator you don't need any IT guys helping out. This is by far the simplest way to go.
- You will need SharePoint 2010 or 2013. SharePoint 365 doesn't work.
- If you have SharePoint there is no additional cost involved.
Use RoboSourceControl: This is the source control system included in RoboHelp itself.
- It works rather well, but it is a pain to set up. You need a database (and a server to host that) and connect every team member to the source control system.
- You will require the support of an IT guy. I normally advise against this system because it is so problematic to set up.
- There is no additional cost for this option.
Use the source control system your developers use. If your developers use a source control system that support the Microsoft SCC API, you can use that source controlsystem.
- The advantage of these systems is that they are generally more rubust than SharePoint, they are optimized for speed and they offer many advanced features that SharePoint lacks such as check in policies, integration with issue trackers, reports, etc.
- The knowlegde of this system is already in house so no consulting will be required for this side.
- You will need the support of the manager of the source control system and most likely also the support of an IT guy.
- You will be able to get a complete version of a project from a specific label/date/etc at once. With SharePoint you can only get older versions of individual files.
- Depending on your licensing structure, this option may require more additional licenses.

If you want to quickly get older versions and have advanced reports on check in history, number of changes, etc. Then the third option is the way to go. If you only need older versions of single files and you want to get it done tomorrow, go for SharePoint.

I am on a desktop, Windows 8, RH11.

I currently am not using TFS or SharePoint for source control, but need to put my publish files on TFS for the development team to pull into automated builds.

Is there a special way to do this? any settings that I need to be aware of?

As a side note, I am considering whether to use TFS or SharePoint as my source control and leaning toward SharePoint because we would like to publish other files such as a knowledgebase onto SharePoint and I want to use the Resource Manager as well.

Thanks for the quick response. We do have a working copy on our own machines, with the repository holding the source control version. I agree it sounds as though that is what's happening. Being new users to this system perhaps there's a setting we are missing. I'll do some further testing and report back the results.

Hi there

The behavior you are describing would seem to indicate the project is actually stored on a network drive. Now I know that source control simply HAS to be in a central location, but generally when you configure it for use, you have the main repository on a server somewhere, but you also nominate a "Working Folder" which is usually on your local file system. (C: or D:) So when you check out a topic to work on it, the Working folder maintains the local copy and there should be no lag. When you check it back in, the local copy is then copied back to the main repository.

Perhaps check to ensure you have configured a local location for the Working Folder?

Why does it take so long when adding a new topic in RH10 with PushOK SVN

RH10 / Window 7 / PushOK SVN

After ugrading from RH8 to RH10, we installed PushOK SVN and the TortoiseSVN Repository browser for our doc team as our source control system, after having used RoboSource Control 3.1 when we had RH8.. Whether in the office or working remotely via VPN, when we add a new topic it can take 1-3 minutes for the topic to actually be ready for input.

Checking in edited topics when closing the project can also take a good deal of time. I expected some of that for those of us using VPN remotely but for those in-house I didn't. Our IT guys are at a loss. They don't believe it's the network.

Is this a common issue? Is there a way around it? Or is there something that comes into play that we are not even considering? OR??

Any help would be greatly appreciated.

After some digging and random Googling the following article seems to have fixed my issue .

It seems that if you are running RoboSource Control on 64-bit machines, there are problems with checking in files.
