Unable to Generate Printed Documentation in PDF Format

This past week I started having a consistent error when attempting to generate a Printed Documentation layout. This error reads "Internal error encountered,  Failed to generate Printed Documentation."  Prior Printed Documentation builds on this same project completed fine. Nothing was done to the Help project between the times when this worked and when it no longer was able to create Printed Documentation.

I receive this error even if I generate an entirely new "blank project" build, and then attempt to create a Printed Documentation build from this new blank project.  Researching this error, I see this has been a reoccuring problem with this product for some time. The few threads that list the problem as having been "fixed" provide resolution steps that have not worked in my case. Right now I am waiting for our IT Helpdesk people to re-install the Suite. Hopefully this will resolve this problem.

Additional information on this problem - PDF Printed Documentation is failing - the HTML build works fine. If I select just a .DOC Printed Documentation output, this also works correctly. The resulting Word document looks good, although hyperlinks do not work within this Word document. I have reloaded Office 2003 as a troubleshooting effort, but this has nbot resulted in any change in symptoms.

The entire error text is enclosed below, although several other people have also done this in past entries. The few lines that read "Warning, and then report a style issue is NOT the problem here. As stated earlier, when I do this same Printed Documentation build on an entirely new "blank project" it does not work, and the Output text in that case does not contain any such "Warnings" about Styles.

I am pretty sure nobody will have any fix suggestions that work to solve this problem, but I am making this entry for historical purposes. I will add an entry stating whether the Suite reload resolves this issue.

In the sticky post Before You Start we do ask that you always indicate the version you are using. In this case I can deduce you are using RH8 as your post includes the Output text.

I can also see you don't have the 802 patch applied. I strongly recommend you apply that soon before you hit the problems referred to in another sticky post.

I doubt a reinstall will fix things and I would try this first. Simply copy your project to a location outside your profile. Saving it within has two downsides. It bloats your profile making your PC slower and it creates long path names that we have seen cause problems.

If the project still creates online help OK and still fails to create the PDF, then just create the DOC from Word. Once you have the document in Word, you should find you can create the PDF from there.

Peter,

Thank you for the reply. You are correct, I am using RH 8 as part of the Tech Comm Suite 2. I regularly "check for updates," and was told earlier today that no updates were available. One would think that this check for updates would flag any required patches, but apparently this is not the case when working with Adobe.

Anyway, I did find and install the patch you mention (8.0.2) and also moved my project to a new location (C:\Backup) and then re-ran the printed Documentation output with the same failed result.

That workaround suggestion will not suffice in our situation and also should not be required. RoboHelp was able to create Printed Documentation PDF output as recently as a week ago, complete with left-hand Bookmarks Panel with working links.

Our Help content is quite large, and it should not be necessary for me to manually PDF a Word document. Our preference is that this software function correctly as a usable "single-sourcing" application.

The single-sourcing from FrameMaker to RoboHelp has already proved to be a miserable failure, and we have resorted to using RoboHelp alone as our "single-sourcing" software application. Now this is also not doing the job as advertised.

I am still waiting for our IT folks to reload my Suite, and hopefully that will resolve this issue. Another note, a colleague (who has not yet installed the latest batch of 10 updates), is able still to generate a PDF Printed Documentation output from a copy of the same Help project. Needless to say, he is holding off on any further Adobe updates.

I was suggesting that as part of finding out where things go wrong.  I agree it is not what should happen or be necessary.

The idea was to prove that if Word is generated first, you can then generate the PDF. Then we know the point of failure.

The reinstall may fix things but if not I don't know what else you can try. If you go to Adobe support, that is probably the first thing they will ask you to try.

If I select ONLY the Word DOC Output format in the Printed Documentation

setup, the output is created without an error (output text below).  Links do work within

this Word document (a symptom change since installing patch 8.0.2).

When I use this Word document to create a PDF (using the Adobe PDF

printer driver) a PDF is successfully created, however no bookmarks are

created in the bookmarks panel and none of the links in this PDF work

(although they are created looking like they will work, i.e., blue

underlined text).

If you are using the version of Acrobat that ships with standalone RoboHelp 8, I don't think the links do work in the PDF. Did they previously? Links in Word documents have worked since RH7. The 8.0.2 patch was very specific and did not touch anything to do with this problem.

See http://www.grainge.org/pages/authoring/rh7/using_rh7.htm item 33. I appreciate you are using RH8, not 7 and you are not getting a crash. Nonetheless it might be worth getting your IT adapt those instructions if the reinstall makes no difference.

Is there any difference in the RAM between your machine and your colleagues. Just a wild thought.

I am using the full Adobe Technical Communications Suite v2 with all updates current. My colleague's PC actually has less RAM than mine ( 2 GB while I have 3 GB). We both run Windows XP. However, his PC is newer than mine (dual core processor while I have 2.8 GHz single core). In my company's PC refresh cycle I think I may be due fairly soon. However, that being said my PC meets/exceeds the Suite's minimum system requirements.

I did already try your "re-register" suggestion as part of my earlier T/S efforts before I made the Forum entry. Unfortunately, it did not work.

Appreciate the suggestions and assistance.

I'll check what we get with PDFs tomorrow. I assume you did install the version of Acrobat that ships with TCS rather than sticking with an earlier version.

The links work just fine in the PDF as well. There is a relevant tick box in the PDF settings.

In my place of employment, the M/S updates are controlled and installed as they deem fit by our IS department. Each of our writers have the same updates and settings. In my case therefore, this is not the problem as other writers here are not having problems with creating PDF Printed Documentation.

Individual updates for applications however, is left up to each employee. Of note, while I had been regularly installing Suite updates each week as prompted, the other writers have NOT been regularly installing Adobe updates. The Printed Doc output is working for each of them.

I have a work-around for this issue now, which is to transfer my Help project to another PC and do my Printed Doc output there. Until I can get the Suite re-installed, I will use this work-around.

I'm sorry, but what setting are you referring to? If it was the "Add links to Adobe PDF," under the Printed Documentation PDF setup menu, then yes.

Incredibly, the "reload" of the Adobe Technical Communications Suite did not fix the problem. After spending an inordinate amount of time working with our IS people, my Adobe Technical Communications Suite 2 was completely reloaded, and then all updates were re-installed.  The problem "Internal error encountered, Failed to generate Printed Documentation " is still present.

Observing the printed documentation creation process on a colleague's working PC, I noted that towards the end of PDF Printed Documentation creation two small pop-ups occur on a working machine.  Both have a tile of "Printing," the first one creates "Printed Documentation.doc," while the second one creates "Printed Documentation.pdf."  I do not see either of these pop-ups on my failing PC.  Further research points to a possible missing or messed up "add-in" or "macro" which allows Adobe and Word to work together.

I have put in for a new PC using our company's process.  Hopefully this will solve the problem.  Another point of interest regarding this problem is that we are still running Windows XP Service pack 2, and IE 6 here.  However, is not the entire reason for my issue as other writer's within my department hall have the same OS/Browser combination.  However, my PC is older than anyone else's.  But it comfortably meets or exceeds the Suite's minimum system requirements.

I will post an update when this issue is finally resolved.  I appreciate the input and suggestions I have received thus far.

Follow-up on this problem.  I received a new PC and IS loaded all my software and now I am able to once again use RoboHelp to generate Printed Documentation outputs.  However, I am not marking this issue as "resolved," because my old PC was not the problem.  I was able to use RH to do Printed Documentation for well over a year on this PC, which comfortable exceeded the listed minimum system requirements for the latest version of the Adobe Tech Comm Suite.  I believe it had something to do with the "handshaking" between RH and Word, as on my failed PC I suddenly was no longer seeing the two "pop-ups" that display when in the process of generating a Printed Documentation build type.  Thanks to all those who provided information on this problem.

PS - Funny side note - before publishing this reply I ran spellcheck.  "RoboHelp" came up as an underlined spelling error.  Kind of a fitting way to end this matter if you ask me.  The developers who code the spellcheck feature didn't even think to exempt the names of their own products.
