Web forms and custom fields = extending necessary?

    jefferis Community Member

      Hi folks,

I think I was mislead by watching a tutorial on creating custom fields in forms.   There is a problem with a piecemeal approach to learning BC, and that is you can miss significant and necessary steps, and not realize you have missed them.

So, I watched a tutorial on adding custom fields to forms. No problem, but then when I go to Cases, I find that none of that information from the custom field is included!?  I suspect then, in order to retain that custom data,  it is necessary to FIRST extend the CRM database to track that information and keep it accessible??

Secondly,  I did not first create a workflow, assuming that the case would automatically be sent to the admin or a user. I realize that is now wrong, but my question is, IF you don't extend the CRM database, but you do create a workflow where the inquiry/order is sent to an admin or user, is all the information from the custom fields automatically included in the email?     If that information is retained somewhere, and you can't see it under Cases, is there a way to see what the original order/inquiry and outgoing email  contained?

          Hi,

You actually don't need to extend the CRM if wanting to add a custom field within your webform.  The custom field data would appear under the case details under the customer's record.

Workflow sent or not would have the populated custom data within the email.  Otherwise you can locate the data under the case details for the customer.

          Example...

          1) Add the custom field when building the webform within the details.

          2) Test the form and populate the newly add custom field.

          3) Go into the customer's case details you should see the recorded data below.

          Hope this helps!

Thanks Sidney.   I guess the case information was all there, I just was looking for a different  display...

My client has a very complex custome design,  order form and his main concern is being able to easily read and understand the information that is sent.   right now I have it being displayed as a Label: input  information   just like in your example above.

He's collecting things like  ring size, shaft length, diamond size in cts, mm size,  side diamond sizes and number, etc. etc...  He's saying that a  row by row list is not easy to process.    The case format above is very plain vanilla and may cause the same reaction on his part.    Is there a way to create an html format output for email at least?

The other thing I noticed is that when I tried to add more than one file field, my custom form would not take it.  He often requests up to 4 image views for custom designs. Is there a limitation on the number of files that can be attached to a single form?

              1) The case details view isn't customizable at this stage.  I'm unaware of any other workaround to adjust this specific layout further unfortunately.

              2) The workflow email will display 1 attachment where the rest should appear in the case details under "related files". The file size limit per file is 100MB but no limit as to how many can be uploaded as long within your plan's quota.

"Email notification will only provide 1 attachment.  If multiple attachments are submitted the rest can be found under the case details under "related files". "
